The Walkerton Clean Water Centre (WCWC) is seeking a qualified professional to fill the role of Executive Administrative Assistant for a one year contract to provide administrative support to the Office of the CEO department.

Position:  Executive Administrative Assistant

Job Classification: OAG 11

Salary Range:  $52,182 to $62,283

 

Purpose of position

To fulfill some responsibilities of the Planning Coordinator role (as listed below) and to provide administrative support to the Executive Coordinator and Human Resources Coordinator. 

Duties/responsibilities

In this role, the incumbent:

1) Fulfills the following administrative tasks of the Planning Coordinator (PC) role:

  • Scheduling meetings for the CEO – external stakeholders, internal committees, staff, managers,  etc.
  • Preparing agendas and taking notes at internal meetings
  • Attending and acting as secretary at committee meetings
  • Reviewing the CEO’s presentations, as requested 
  • Reviewing, recommending responses to sponsorship requests for CEO approval— and preparing sponsorship budget report for review by the board of directors  
  • Registering the CEO for events and making travel arrangements, including booking hotel rooms, vehicle, etc.
  • P-card administration for the Office of the CEO, including the Centre’s annual memberships.
  • Reviewing cheque runs prior to the CEO’s signature and monitoring compliance with directives

 

2) Provides administrative and project support to the Executive Coordinator (EC):

  • Preparing, proofreading, editing, formatting reports that are not of a sensitive nature (board reports and other reports)
  • Attending and acting as secretary at committee meetings
  • Project administration – working with the EC on various projects and committees which may include preparing objectives and action plans, reviewing literature, preparing preliminary drafts of action plans, board reports, etc. for review by the EC
  • Booking rooms and arranging for catering for board meetings at external locations
  • Other administrative tasks of a non-sensitive nature

 

3) Provides administrative and project support to the Human Resources Coordinator (HRC):

  • Training tracking
  • Help prepare and create preliminary reports for the board
  • Proofread and assist in update of employee handbook
  • Coordinate and schedule manager and staff training sessions with internal and external trainers
  • Coordinate, proofread and assist in preparation of monthly staff newsletter
  • Update job descriptions under direction of the HRC
  • Monitor and update engagement activities spreadsheet
  • Other HR administrative tasks of a non-sensitive nature

 

4) Other relevant duties as assigned by the CEO

Knowledge Requirements:

Excellent administrative and organizational skills are required to coordinate activities for the Office of the CEO and effectively prioritize duties.  The ability to proofread and edit documents in an accurate and timely manner is essential to this role.  The incumbent requires working knowledge of Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Publisher.

Job requirements

  • A minimum of three years of experience in an administrative role is required.  Having provided administrative assistance in an executive office environment would be an asset. 
  • A College Diploma in Business Administration is required or equivalent combination of work experience and educational history would be considered. 
  • The incumbent must be proficient in the use of Microsoft Office programs including Word, Excel, Power Point, Publisher and Outlook.
  • The ability to proofread and edit documents in an accurate and timely manner is essential to this role.
